Electronic mail, popularly known as email, is a process of exchanging messages digitally. In this process messages are stored and forwarded through different storage servers. In these servers email data are stored and fetched when required.

A Brief Detail

An email has two parts: the header and the body. The header contains important information like sender’s address, the time email was sent and delivered etc.

Email was initially just a text message. However, with the gradual improvement in technology, attachments became a part of emails too. Gone are those days when email messages had a meager size limit of a few KBs. Nowadays, messages of more than 10 MB can be sent easily.

Email Clients

Now let’s find out what the email clients are. There are different standalone email clients like MS Outlook, Outlook express, Thunderbird, Seamonkey etc. On the other hand, there are also some popular web based email clients like Hotmail, Gmail, and Yahoo etc. Whichever email client you use, the tasks performed are overall the same. Following are some of the activities that your email client will let you do:

�  Shows you a list of all of the messages in your mailbox by displaying the message headers. The header shows you who sent the mail, the subject of the mail and may also show the time and date of the message and the message size.
�  Lets you select a message header and read the body of the e-mail message.
�  Lets you create new messages and send them. You type in the e-mail address of the recipient and the subject of the message, and then type the body of the message.
�  Lets you add attachments to the messages you send and also save the attachments from messages you receive.

Email Servers

Now that we have learnt about email clients, let’s find out what else is required for the complete functioning of the process. The most important of all, without which emails will not work, is the Email Server for the clients to connect to.

There are different servers for different purposes. POP/POP3, IMAP servers handle incoming email, SMTP server handles outgoing email.

POP stands for POST OFFICE PROTOCOL and IMAP stands for INTERNET MESSAGE ACCESS PROTOCOL.

There are certain differences between POP/POP3 and IMAP server. The differences majorly lie in the way these servers operate. Both have their own pros and cons.

�  POP3 always downloads all new emails locally to your computer.
â?Â  IMAP downloads message summaries and doesn’t download the entire message until you want it to.
â?Â  POP3 downloads all emails into 1 mail folder called “Inbox”.
â?Â  IMAP preserves your folder structure in a main folder called “imap.*.com”.
�  POP3 is useful if you only access your email from one computer, since the email is typically downloaded locally (this is the default and can be changed).
�  IMAP allows email to be manipulated from a desktop computer at home, a workstation at the office, and a notebook computer while traveling, without the need to transfer messages or files back and forth between these computers.
�  With POP3, your emails can be automatically erased from the server after they are downloaded freeing up space in your account.
�  IMAP keeps all emails on the server until you erase them.

Now let’s throw some light on the SMTP server. Let’s find out what it is and what its functions are. SMTP stands for SIMPLE MAIL TRANSFER PROTOCOL. SMTP is used for delivering emails to the recipient’s email address. It is used in conjunction with a POP/POP3 or IMAP server. Email clients use either a POP3 or IMAP along with SMTP. Without these, mails can only be received; you won’t be able to send mails.

The last protocol is the HTTP, which stands for HYPER TEXT TRANSFER PROTOCOL. This is not a protocol which is dedicated for email communications, though it can be used to compose or retrieve mails. This is also called web based email.

The last one is the usage of MS Exchange for email clients like OUTLOOK. This is used in corporate environments with MS infrastructure solutions. Its major features include email, calendar, contacts and tasks etc. It also can be synched to a hand held device or a mobile. It also supports data storage.

MS exchange has come a long way with its different versions starting from Exchange 1.0. The most recent version is MS Exchange Server 2010.

SMTP Server is nothing but a combination of hardware and software. It is programmed in such a way that it can send email messages to the right destination. In order to send emails one has to connect to the internet through an emailing solution or application. There are many email applications out there such as Microsoft Outlook. This application helps you to access your email server. The email sending protocol used on the internet is known as SMTP; it stands of Simple Mail Transfer Protocol.

 

SMTP usually works in coordination with POP3 server. POP3 stands for Post Office Protocol. Sometimes, SMTP is also connected with IMAP, which is the abbreviated form of Internet Mail Access Protocol. These two servers are used to receive email messages. All SMTP set up works with either or both POP3 or IMAP.

 

When you send an email, your computer or the emailing application sends the message to the SMTP server. The SMTP server then reads the message in terms of its destination and all. Once the destination is finalized, SMTP forwards the mail to the recipient’s mail server. All the SMTP servers are programmed in such a way that you do not need to send them any additional instructions at all. As soon as you send email, they start working and act accordingly. All the processes take place in the back end.

 

In case, the recipient’s address is not available, or not verified, SMTP keeps sending mails repeatedly for few days, as it is programmed. If all the attempt fails, it generates a delivery fail report and sends it to the sender.

 

Your own SMTP or Free emails?

 

You can use free emails to send receive email messages. There are many free email service providers such as Yahoo! mail, Gmail, Hotmail etc. If you use any such service you do not require SMTP server download. Your mail service provider takes care of everything.

 

However, if you want your own SMTP set up in order to control the email messaging process the way you want, you need to have SMTP server in place. You need SMTP server download; once the server is downloaded and installed you have to configure it according to your requirements.

 

In case you have to send bulk emails frequently, you may need to configure your SMTP server in such a way that bulk emails do not get blocked anywhere.

 

When you use the email system of a free email service provider, you may not need to use any emailing application. You can simply access your inbox or send mails through a browser.

However, free emails have some limitations. You cannot modify the email templates as you want. If you run a business and you need to send marketing emails frequently, you may want to use HTML email templates. A free email service will not allow you.

 

Though the security systems of modern free email services are pretty good, you may always want to have a stronger security. With your own SMTP set up, you can have a good antivirus installed so that no virus breaks through the system.

Each domain has its unique id, which is known as the Internet Protocol (IP Address). The internal link between the domain names of the IP address is stored in a base which is known as the Domain Name Registry. The SMTPserver gets in touch with the DNS server. It then sends the mail to the smtp server of the mail receiver. The mail is then taken over by the POP3 or the IMAP server.
